Summit Tennis – Terms & Conditions

1. Acceptance of Terms

1.1 By accessing or using the services provided by Summit Tennis (Tennis Tots Ltd) (“Summit Tennis”, “we”, “our”, “us”), you agree to comply with and be bound by these Terms and Conditions.

1.2 If you do not agree with any part of these Terms and Conditions, you must not use our services.

2. Services Provided

2.1 Summit Tennis provides in-person tennis coaching programmes for children of varying ages and abilities, including early years, primary-aged, and older junior players.

2.2 Coaching sessions may take place at:

  • Leisure centres

  • Community venues

  • Outdoor courts

  • Schools (before school, after school, or during the school day)

2.3 All participants must be registered by a parent or legal guardian, or by an authorised school representative where applicable.

3. Subscriptions & Bookings

3.1 Summit Tennis operates primarily on a term-time subscription model, unless otherwise stated.

3.2 Subscription fees reserve a place within a group, not attendance at individual sessions.

3.3 Session length, term length, and pricing vary by programme and venue and are published on the Summit Tennis website.

3.4 Missed sessions are not refundable, regardless of reason, including illness, holidays, school activities, or personal circumstances.

3.5 Where availability allows, Summit Tennis may offer catch-up sessions at an alternative venue or time. Catch-up sessions:

  • Are discretionary

  • Are subject to space and suitability

  • Have no monetary value

  • Cannot be accumulated or carried forward

4. Trials

4.1 Summit Tennis may offer free or paid trial sessions, which must be booked in advance.

4.2 Trial availability, quantity, and expiry periods are set by Summit Tennis and may vary by programme.

4.3 Trial sessions do not guarantee a permanent place.

5. Payments & Billing

5.1 Payments are processed via secure third-party payment providers (e.g. Direct Debit).

5.2 Parents/guardians are responsible for ensuring payment details are accurate and valid.

5.3 Failed or missed payments may result in suspension from sessions or loss of place.

5.4 Summit Tennis reserves the right to adjust pricing with reasonable notice.

6. Cancellation, Refunds & Credits

6.1 Summit Tennis does not offer cash refunds for:

  • Missed sessions

  • Partial terms

  • Early cancellation

  • Illness, injury, holidays, or personal circumstances

6.2 If a parent cancels their subscription during a term, no refund will be issued for sessions already scheduled or paid.

6.3 Where Summit Tennis cancels a programme and no suitable alternative can be offered, a pro-rata refund or credit may be issued at our discretion.

6.4 In certain circumstances, and at the sole discretion of Summit Tennis, a credit may be applied to the immediately following term only, in place of a refund.
Where possible, the preferred use of credit is against sessions at an alternative Summit Tennis venue or group, subject to availability and suitability.

Credits:

  • Are valid for the next term only

  • Cannot be carried forward beyond that term

  • Have no cash value

  • Are non-transferable

  • Must be redeemed at the time of booking

6.5 Credits cannot be used for camps, merchandise, one-off sessions, or third-party services unless expressly stated.

7. Moving Groups

7.1 Children are encouraged to move groups as they progress.

7.2 The preferred method is to cancel the existing subscription and re-subscribe to the new group.

7.3 Manual transfers may be possible but are not guaranteed and are subject to availability.

8. Schools-Based Provision

8.1 When sessions take place on school premises, Summit Tennis operates in line with school policies and behaviour expectations.

8.2 Summit Tennis staff are responsible only during the scheduled session time.

8.3 Responsibility for children before and after sessions remains with the school or parent, as applicable.

8.4 Summit Tennis accepts no responsibility for:

  • Late collection

  • Changes made by the school

  • Access or facility restrictions imposed by the school

9. Code of Conduct

9.1 All participants, parents, and spectators must behave respectfully toward coaches, staff, other children, venues, and equipment.

9.2 Summit Tennis operates a zero-tolerance policy toward abusive, aggressive, or disruptive behaviour.

9.3 Summit Tennis reserves the right to remove a participant from sessions or cancel a subscription without refund where behaviour standards are breached.

10. Equipment & Property

10.1 All coaching equipment remains the property of Summit Tennis and must not be removed from site.

10.2 Summit Tennis accepts no responsibility for lost, stolen, or damaged personal belongings.

11. Health, Medical & Additional Needs

11.1 Parents/guardians must disclose any relevant medical conditions, behavioural needs, or additional requirements at the time of booking.

11.2 Summit Tennis is not a specialist disabilities provider and does not provide specialist disability training, one-to-one support, or additional staffing beyond standard coaching ratios.

11.3 While we aim to be inclusive and welcoming, we cannot accept responsibility for providing additional coaches, specialist training, or individual support.

11.4 For children with physical, behavioural, or additional needs, a parent or carer must remain present and provide one-to-one support during all sessions, including holiday camps.

11.5 Summit Tennis reserves the right to refuse or withdraw participation if we believe the environment cannot safely meet a child’s needs within our standard delivery model.

12. Safeguarding & Supervision

12.1 Parents must not physically intervene with other children.

12.2 Children must not attend sessions while suffering from a contagious illness.

12.3 Appropriate sports clothing and footwear must be worn at all times.

12.4 Water should be brought to sessions; food is not permitted unless expressly agreed.

13. Photography & Video

13.1 By attending Summit Tennis sessions, parents acknowledge that photography and video recording may take place for coaching, marketing, and training purposes.

13.2 When publishing content, Summit Tennis will take reasonable account of parental photo consent preferences and will endeavour to:

  • Avoid using images of your child where requested

  • Crop or redact images where reasonably possible

14. Limitation of Liability

14.1 Participation is at the child’s own risk.

14.2 Summit Tennis’s liability is limited to the total fees paid.

14.3 Nothing in these Terms limits liability for death or personal injury caused by negligence.

15. Intellectual Property & Lesson Plan Usage

15.1 All content, materials, branding, designs, logos, illustrations, characters, mascots, names, lesson plans, session plans, games, drills, activities, progressions, coaching structures, digital assets, and marketing materials used or displayed by Summit Tennis (Tennis Tots Ltd) are the exclusive intellectual property of Tennis Tots Ltd, whether registered or unregistered.

15.2 Summit Tennis lesson plans and session content are provided solely for use within official Summit Tennis sessions and must not be used in any non–Summit Tennis session, programme, school, club, business, or commercial setting without prior written consent.

15.3 No part of Summit Tennis intellectual property may be copied, reproduced, adapted, distributed, republished, displayed, transmitted, reused, or imitated without prior written permission.

15.4 This restriction applies to parents, carers, coaches (current or former), schools, venues, partner organisations, and any third party observing sessions.

15.5 Any unauthorised use, imitation, or replication of Summit Tennis branding, lesson plans, characters, or programme content may result in legal action.

16. Changes to Terms

16.1 Summit Tennis reserves the right to amend these Terms & Conditions at any time.

16.2 Continued participation constitutes acceptance of updated terms.

17. Governing Law

17.1 These Terms are governed by the laws of England and Wales.
