Summit Tennis Summer Camps 2025 – Terms and Conditions

1. Booking and Payment

  • All bookings must be made online via our website: https://www.summit-tennis.com/summer-camps-2025

  • Full payment is required at the time of booking to secure a place at the camp.

  • Payment is non-refundable unless the event is cancelled by Summit Tennis, or by the parent at least two weeks prior to the start of the camp (see Section 4).

2. Participant Eligibility

  • The main camp is open to children aged 5 to 16 years. Children must be toilet trained and able to follow basic group instructions.

  • Younger children are welcome to attend the Tennis Tots sessions each day with their parents.

  • Any relevant medical conditions, allergies or additional needs must be declared at the time of booking. We may not be able to accommodate all applications.

3. Cancellations and Refunds

  • Cancellations made 14 or more days before the camp start date are eligible for a full refund.

  • Cancellations made less than 14 days before the camp start date are not eligible for a refund or credit.

  • No refunds or credits will be issued for non-attendance due to illness, holidays, or other commitments unless the cancellation is made 14 days prior to the start of the camp.

  • Days cannot be swapped within 14 days of the camp start date.

4. Camp Cancellations or Changes by Summit Tennis

  • In the rare event that a session is cancelled due to extreme weather or circumstances beyond our control, we will offer an alternative session or refund.

  • If we do not feel we can accommodate a specific request or circumstance, we reserve the right to cancel your booking and issue a full refund.

  • Summit Tennis reserves the right to change coaches, venues, activities or schedules if necessary.

5. Behaviour and Conduct

  • Summit Tennis promotes a fun and inclusive environment. Disruptive or unsafe behaviour will not be tolerated.

Behaviour Expectations
All children attending Summit Tennis camps are expected to behave in a respectful, kind and inclusive manner at all times. We do not tolerate any form of bullying, discrimination or exclusion based on race, gender, ability, religion, or background. Inappropriate language, physical aggression, or prejudiced behaviour will be addressed immediately and may result in the child being removed from the session or the remainder of the camp, without refund. Our team is committed to creating a safe and supportive environment where every child feels welcome and valued.

  • We operate a zero-tolerance policy toward abusive behaviour directed at staff.

  • We reserve the right to remove a child from the camp without refund if their behaviour poses a risk to themselves or others.

  • Children are not permitted to leave the site without a parent or authorised adult.

  • If a child is removed from camp for behaviour reasons, they will not be eligible for a refund.

6. Clothing, Equipment and Medication

  • Children should wear appropriate sports clothing and trainers suitable for tennis.

  • Please ensure your child brings a water bottle, packed lunch (for full-day bookings), snacks, sunscreen and a hat.

  • All personal belongings are the responsibility of the participant. Summit Tennis accepts no liability for lost or damaged items.

Personal Medication
Children who require personal medication (e.g. inhalers, EpiPens, or other essential items) must bring it with them and be able to self-administer if needed. Summit Tennis staff are not in loco parentis and cannot administer medication. Parents are responsible for ensuring all medication is clearly labelled and that their child knows how and when to use it.

  • The application of sunscreen is solely the responsibility of the parent and child. Please ensure sunscreen is applied before attending camp and that the child knows how to reapply it themselves.

7. Drop-off and Collection

  • Children must be collected by the same parent or guardian who dropped them off unless otherwise stated in writing.

  • Early drop-off and late collection options are available and must be pre-booked.

  • A late collection fee may be charged for children not collected within 10 minutes of the scheduled time.

8. Photography and Media

  • We may take photos/videos for promotional use on our website and social media channels. Please notify us in writing before the camp starts if you do not wish your child to be included.

9. Food and Drink

  • If your child is staying for lunch (full-day booking), we request that they bring a packed lunch.

  • Snacks and drinks should also be brought in advance.

  • We accept no responsibility for food and drink purchased at venues that have a café.

10. Weather

  • We will do our best to run the camp in all weather conditions, including making use of indoor spaces if available. If you do not hear from us, please presume the camp is going ahead.

  • In the rare event that Summit Tennis cancels the entire day due to weather, we will offer a full refund for that day.

  • If the camp has already started and the weather deteriorates partway through, no refund will be issued.

11. Liability and Insurance

  • Summit Tennis holds Public Liability Insurance.

  • Participation in tennis involves physical activity and a risk of injury. Summit Tennis is not liable for injuries unless due to proven negligence by a coach or staff member.

In the event of any emergencies or behavioural issues will will contact you in order of the details provided on the registration form. We expect that a parent or guardian will be available at all times to pick your child up if necessary.

13. Updates to Terms and Conditions

We reserve the right to update these Terms and Conditions up to 14 days prior to the start of the camp. Please check back and review them before the camp begins.
